International Reimbursement Process Overview
Due to international banking regulations, direct ACH reimbursements are not currently available for any employee located outside the US. In order for us to still offer reimbursements to these employees, we have companies distribute reimbursements via payroll instead. To aid in this process, Benepass has a specifically generated report available for download to input directly into your payroll system for processing.
Reporting Best Practices
Cadence
We recommend distributing reimbursements on a monthly basis. You can elect to do this more, or less frequently, but will want to be certain to communicate these expected timelines on payments to both the Benepass team, and to your employees.
How to Pull International Reimbursement Totals on Benepass Admin Dashboard
Aggregate
1. Head to the Reports Page, which defaults to the "Spending" view.
2. Select your date range - we see many companies pull the month prior at the time of reporting. For example, October reimbursement distribution would include approved expenses from Sep 1-Sep 30.
3. In the Report Preset dropdown, you will have the option to generate the International Reimbursement (total)
4. You can then export this as a CSV.
Breakdown by Transaction
1. Head to the Reports Page, which defaults to the "Spending" view.
2. Select your date range.
3. In the Report Preset dropdown, you will have the option to generate the International Reimbursement (breakdown)
4. You can then export this as a CSV.
Country-by-Country Breakdown
If it would be helpful to instead approach these reports on a country-by-country basis, you'll be able to modify this as well.
To select a specific country:
1. In the filtering options, select the preferred country. This will update the report from including all countries outside of the US, to only including the country specifically filtered.
This option is available for both aggregate and breakdown views.
